- DEFINITIONS
1.1 Panama Travel Mart or “Event” means the activities for tour operators organized by CAMTUR- Panama Chamber of Tourism, during the period from September 23 to 26, 2024. The event is owned and organized by CAMTUR, Panama Chamber of Tourism, Atlapa Convention Center 2nd floor, Pre-Columbian Hall, Republic of Panama.
1.2 “Suppliers” refers to Panama’s tourism service providers, whether or not they are members of CAMTUR, who have registered in the CAMTUR space at the Event.
1.3 “Event Team” means the staff of CAMTUR, TM Americas and other contractors providing paid or voluntary service to CAMTUR for Panama Travel Mart.
1.4 “Buyer” refers to the tourism professional, who has registered as a Buyer and has agreed to these Terms and Conditions and has been accepted by CAMTUR to attend the Event as a buyer of travel products where CAMTUR provides accommodation and transfers during the event at a cost of US$249.00 per person.
1.5 “Pre-Scheduled Appointment Program” means that the appointment schedule program operated by CAMTUR to coordinate meetings between Buyers and Suppliers during the Event and “Pre-Scheduled Appointments” shall be interpreted accordingly to the meetings agreed upon or assigned by the appointment program.
- REGISTRATION
2.1 As part of the Buyer Program, you will be entitled to:
- Accommodation in Boquete for one night at the assigned hotel, September 23-24, 2024 and two nights at the assigned hotel in David, Chiriqui, September 24-26, 2024.
- Return/round-trip transfers to the airport and tour assigned in the Province of Chiriqui.
- Registration and participation in the Event.
- Program of previously scheduled meetings with suppliers of your choice.
- Events that are part of the official buyers’ program.
ALL other incidental costs and expenses are the responsibility of each attendee. Some examples are:
- Private Transportation Transfers
- Private food and beverages (other than group events)
- Voluntary flight changes.
- Room upgrade in the hotels requested by the participant.
- Additional nights of accommodation.
- Personal/incidental/consumption extras in the hotel minibar
- Travel vaccinations
- Visa Costs
- Car Rental
- Travel Insurance
2.2 Completing the online application form does not automatically guarantee acceptance into the Event Buyer Program. You will be notified if your application is successful and a link to pay the registration fee will be sent within 48 hours of registration. The decision of the Event Team will be final.
2.3 The Event Team will only accept one application per participant. In the event that multiple applications are received per participant, only the first application will be considered.
2.4 All sections of the application form must be fully completed.
- ATTENDANCE
3.1 The Buyer agrees to participate in all activities of the Program, from 23 to 26 September 2024.
The Event Team will coordinate your participation as a Buyer in the Event, including accommodation, ground transfers, and appointment setup.
3.2 Buyers undertake to settle all expenses with the hotel prior to departure and will indemnify CAMTUR for any non-compliance.
3.3 Buyers who do not complete their Pre-Scheduled Appointment Program selection by the agreed date will be responsible for the “No Show” penalty. Buyers must actively participate in the Pre-Scheduled Appointment Program, for example, by selecting the required number of appointment preferences within a specified time period and participating in a minimum of 15 pre-scheduled meetings during the Event.
3.4 If one or more persons from the same organization attend the Event as a Buyer, then those persons must carry out their pre-scheduled appointments individually and each must schedule a minimum of 15 meetings.
3.5 Attendance at pre-scheduled meetings will be monitored and non-attendance will constitute a breach of these Terms and Conditions.
3.6 Buyers, by applying for Buyer status, authorize the organizer to have their contact details (email address and telephone number) shared with all Suppliers at the Event in order to arrange additional appointments and subsequent follow-up.
3.7 Buyers will be required to wear business attire as a condition of participating in the Event and will not engage in any demonstrations, or objectionable behavior or engage in any activity that may disrupt the Event.
3.8 The official photographers of CAMTUR will be taking photographs and filming videos at Panama Travel events, all persons attending Panama Travel Mart are aware of and authorize such photography and filming without compensation and confirms that the Organizers will have the right to use such photographs and videos, which may include photographs and videos of visitors, with the purpose of marketing the CAMTUR Panama Travel Mart in the future, for use in each and every media, without liability. No other photography or filming will be allowed on CAMTUR without the prior written approval of the Organizers.
- TRIP
4.1 Buyers must provide their travel details to the event team by 09 September 2024 to reconfirm hotel rooms and transfers.
4.2 CAMTUR will provide the Buyer with transfers from David Airport, Panama to the host hotel, provided that the Buyer provides the arrival information by September 10, 2024. Additionally, CAMTUR will provide transportation to the activities of the Official Program, according to the established schedules.
4.3 CAMTUR will provide the Buyer with up to 3 nights’ accommodation at the assigned hotels in the Province of Chiriqui, Panama, during the Event. This will be in simple occupation. CAMTUR will not be responsible for any additional room expenses incurred during the stay. Any room upgrades will be solely at the discretion of the hotel management. Additional nights, if requested by the Buyer, must be paid directly by the Buyer to the Hotel.
4.4 Your registration is non-transferable. In the event of a circumstance that requires you to cancel your participation, you may request replacement by someone else in your organization. The Event Team must first accept and qualify the substitute. In the event that person meets the requirements and the substitution is made on or before September 10, 2024, no cancellation fees will apply.
4.5 Participants from some countries may require a visa or travel permit to enter Panama. It is the responsibility of each Buyer to arrange their own individual visa at their own cost.
4.6 Vaccines. Please note that travel vaccinations and yellow fever certificates, when required.
4.7 Travel Insurance. Travel Insurance is the responsibility of each Buyer. The Event will not provide travel insurance for Buyers. Travel insurance must be in force from the day of departure to the day of your return to your home country inclusive and it is recommended to cover cancellations, delays, lost luggage and medical costs.
4.8 Excess baggage, customs fines and the like are the responsibility of each Buyer. The Event does not endorse or approve gifts given to Buyers by Vendors. It is the responsibility of each attendee to ensure that such gifts can be legally picked up from Panama and imported into their country.
- CANCELLATION AND NO-SHOW
5.1 Cancellation fees for buyers
If you need to cancel your participation in the Event, you must provide written notice by email to Info@PanamaTravelMart.com. Cancellation will not be effective until you have received written acknowledgement of receipt from the Event Team.
In case of cancellation, the following fees will apply.
- Cancellations received through September 9, 2024 will not incur a penalty.
- Cancellations received after September 09, 2024 will incur a penalty of $249.00
5.2 No-Show Fees for Buyers
“No Show” fees for Buyers will apply in the following circumstances:
- If you do not make the required number of requests for meetings with suppliers and/or pre-scheduled meetings by the close of the Pre-Scheduled Appointment Program
- You are reported by the vendors participating in the Event as a “No Show”
- You are unable to attend the Event and do not inform the Event Team in writing after 09 September 2024.
- If you miss two or more pre-scheduled meetings at the event.
- Buyers will be charged no-show fees if the Event has provided confirmed accommodation and transportation arrangements.
The event team and suppliers monitor buyers’ participation and attendance.
5.3 Cancellation and no-show fees
Cancellation of No-Show penalties will be deducted from the payment sent by the Buyer at the time of registration. Any refund, in case of timely cancellation, will be requested from CAMTUR to info@PanamaTravelMart.com within 14 days of cancellation and no more than 14 days after the end of the Event.
Buyer agrees that the above charges are a reasonable prior estimate of the loss suffered by CAMTUR in the event that Buyer breaches these Terms and Conditions.
- EXCLUSION OF LIABILITY
6.1 CAMTUR does not assume any responsibility:
6.1.1 by participants who miss flights.
6.1.2 for the insolvency or bankruptcy of any hotel or ground handling company or other supplier.
6.1.3 for flight cancellation or delay.
6.1.4 If the Buyer is denied permission to board the aircraft or is denied entry into Panama.
6.1.5 for any delay or loss of baggage or excess baggage charges – any subsequent disputes will be directly between the Buyer and the airline.
Any replacement flights and other costs incurred in connection with the foregoing shall be borne by Purchaser or the airline, as applicable.
6.2 CAMTUR, its agents, its employees and its subcontractors shall not be liable for any loss, damage or delay resulting from acts or threats of war, kidnapping, terrorist activity, civil commotion, labor disputes, fuel shortages, natural disasters or adverse weather conditions, strikes or lockouts, intervention or regulation, military activity, epidemics or any other circumstances beyond the control of CAMTUR or its subcontractor that make it impossible or it is not advisable for CAMTUR to hold the Event at the scheduled time and place or that makes it impossible to take Buyers to the Event or provide flights, hotels, transfer appointments, events or other services to Buyers. CAMTUR reserves the right to reschedule the Event on another date and/or at an alternative site.
6.3 CAMTUR shall not be liable to the Buyer, in contract, tort or otherwise for any loss of profits, loss of business or revenue, loss of anticipated savings or any indirect or consequential loss or damage, costs or expenses arising out of or in connection with the Buyers’ attendance at the Event.
6.4 CAMTUR shall have no liability to the Buyer in respect of their attendance at the Event under these Terms and Conditions.
6.5 CAMTUR shall not be liable for the death or personal injury of any Buyer.
- GENERAL
7.1 Successful applicants will only be accepted as Buyers if they have confirmed that they have read and accepted these Terms and Conditions and have ticked the relevant boxes on the online application form and provided their credit card details.
7.2 Persons (such as spouses, family members) accompanying Buyers are not included in any offer related to the Buyer’s program.
7.3 By accepting these Terms and Conditions, Buyers are consenting under all relevant data protection legislation to CAMTUR by communicating with you by phone, fax, email and using the Buyer’s personal information for internal processing and for disclosure to third parties such as Event Suppliers, travel agents, airlines, hotels, and transportation providers in connection with Buyer’s attendance at the Event (including, without limitation, to process your credit card for additional travel and lodging charges, cancellation, or No Show fees). In addition, we may use Buyer’s data to invite Buyers to other events hosted by CAMTUR.
7.4 The Agreement and these Terms and Conditions shall be governed by and construed in accordance with the law of the Republic of Panama and are subject to the non-exclusive jurisdiction of the Courts of the Republic of Panama.
